Who we are
Tribeness Ltd is responsible for the personal information described in this policy. We build software and websites. For privacy questions or requests, contact Marc Thiart at marc@tribeness.com.
This policy covers our website, tribeness.com, and our handling of business enquiries and related correspondence. It applies whether you contact us directly by email or through a social messaging service such as Facebook Messenger. It does not cover personal information processed inside our separate software products.
Information we receive
- When you contact us: your name, email address or other contact details you provide, your business details, your enquiry, and any attachments or project information you choose to send.
- When you use social messaging: the name and profile information the platform makes available to our business, your messages and attachments, and any referral information it provides, such as which advert led to your enquiry. This includes enquiries through Facebook Messenger.
- When you visit the website: technical information needed to deliver and protect the site, such as your IP address, browser information, requested pages and request times, may be processed by our hosting provider.
Please send only information relevant to your enquiry. We do not need passwords, payment-card details or sensitive personal information to discuss a potential project.
Why we use information
We use enquiry information to respond, understand what you need, discuss possible work, prepare proposals and keep an appropriate record of the conversation.
For general enquiries and enquiries made on behalf of a business, we rely on our legitimate interests in communicating with prospective customers and running our business. Where you personally ask us to take steps towards a contract, we rely on taking those steps at your request. Website security and troubleshooting support our legitimate interests in operating a reliable, secure website. Where we must retain or disclose information to comply with the law, we rely on that legal obligation.
You can choose not to provide information, but we may be unable to answer your enquiry without the details needed to understand it. Sending a message does not subscribe you to a mailing list. We will respect a request to stop following up on your enquiry.
Website cookies and tracking
The current website does not use a contact form or require an account. Contact links open your email application. We do not use advertising tracking on the current website, including the Meta Pixel. Our hosting infrastructure may process technical request information to serve the website and help protect it against misuse.
If we add website analytics, advertising tracking or other optional technologies, we will update this policy and provide any required choices before using them.
Who handles information
Information may be handled by service providers needed for our website and communications: Vercel for website hosting, Microsoft for email correspondence, and Meta when you contact us through Facebook Messenger. Relevant information may also be shared with professional advisers or authorities where necessary for legal advice, a legal requirement or the protection of legal rights. Access within Tribeness is limited to people who need it for the purposes described here.
Some providers operate internationally, so information may be processed outside the UK. Where we arrange a restricted international transfer, we must use an appropriate legal mechanism, such as a UK adequacy regulation or approved contractual safeguards. You can contact us for details of the arrangements relevant to your information. Meta’s own processing and transfers are explained in its policy.
Contact through third-party platforms
If you contact us through Facebook Messenger, we use the information we receive to handle your enquiry in the same way as other correspondence. These enquiries stay in Messenger; we do not transfer them to a customer-management system or mailing list. Meta also processes information to provide its platform under the Meta Privacy Policy, including its own use of cookies and similar technologies. You can contact us by email instead. Other websites linked from our site have their own privacy policies.
How long we keep information
For enquiries that do not lead to work, we delete the records we control within 12 months of the last meaningful contact, unless an ongoing discussion, complaint or legal matter requires longer retention. If you become a customer, relevant correspondence becomes part of the project record and is retained for as long as needed to deliver the work, meet applicable record-keeping duties and deal with legal claims. We assess this by the nature of the project, applicable legal requirements and any unresolved issue.
Meta controls retention of information it holds for its own purposes. Deleting our copy of a conversation does not necessarily remove your copy or information retained independently by Meta. Technical hosting records are subject to the provider’s service retention arrangements.
Your choices and rights
Depending on the circumstances, you can ask to access your personal information, correct inaccurate information, delete it, restrict its use, or receive certain information in a portable form. You can object to processing based on legitimate interests and to direct marketing. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing.
Email marc@tribeness.com to make a request. We may need to check your identity. Rights are subject to legal conditions, and we will explain any reason we cannot fulfil a request. We normally respond within one month; we will tell you if a lawful extension is needed.
If you are unhappy with how we use your information, please contact us. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We will update this page when our practices change and show the date of the latest update. Where appropriate, we will bring material changes to your attention.
